HLDT Survey dropped a self-built system — and the cost of keeping it running

A 24-person team running more than 200 projects at once, with 7,600 panel members, moved off in-house tooling that needed a developer for every change. Member profiles, participation, incentives and billing now sit in one place — and project data updates in real time, so nobody has to be asked to stop and compile a count.

Before Sampora

Keeping their own system running was the job

Every change queued behind development.

HLDT Survey runs B2B, B2C and healthcare research with a team of 24, keeping more than 200 projects live at the same time. To run it, they had built their own system.

Maintaining it was the problem. Every change had to go through development and wait its turn. Member profiles, participation records and incentive payouts sat in different places and had to be reconciled by hand. Checking which projects a single member had taken part in meant opening several files. And incentive and wallet records were tallied manually — which is exactly where mistakes come from.

Why they chose Sampora

Everything was already built — and it costs less than maintaining their own system

Plus two things they did not expect.

What HLDT needed was already there, ready to run the moment they subscribed — no build phase, no waiting on a developer. Standard white-label setup, brand configuration within Sampora’s existing modules, own-domain support and basic launch assistance are included in the subscription at no separate charge. Support responded quickly, and they were running without a long preparation period.

Two things mattered more than expected. Project allocation and staff management turned out to be genuinely useful in their own right. And project data now updates in real time — so nobody has to ask a colleague to stop what they're doing and put a count together.

What changed

The results HLDT Survey reported

In their words, with their numbers.

One place

Member profiles, participation, incentives and bills all sit together — no cross-checking between separate systems.

Member history

A member's participation history is visible directly, instead of opening several files to reconstruct it.

Less manual work

Incentive and wallet records line up, so most of the manual reconciliation is gone.

One screen

Member finance and bills are readable in one view.

Rework — gone

The places that used to need rework now largely don't.

“It has not just saved us time — it has taken away the ongoing development and maintenance cost of running our own system. Overall, it costs far less than building it ourselves.”
